What we do with your information

This page is written in Easy Read English, with short sentences and simple words.

This page explains what we do with your information. Your personal data is the information that tells about you: your name, your email address, your job. We follow the GDPR, the General Data Protection Regulation: the European law that protects your information. You keep rights over your information, and we explain here how to use them.

The information we ask for, and why

  • The form on the website asks you for the name of your facility, its town or area, the type of facility, your job and your email address.
  • You can add your phone number and the number of people concerned. These two pieces of information are optional: you do not have to write them.
  • We use this information to answer your request and to follow up our exchange. We use it for nothing else. You do not have to create an account.
  • We are allowed to use this information because you give it to us yourself. This is your consent: your agreement, given freely. It is also the preparation of possible work with us. The GDPR calls this the legal basis: the reason that allows your information to be used.
  • We also count the visits to the website with a tool called Umami. Umami records the pages you look at, the website you come from and the type of device. It does not set a cookie, it does not follow you from one website to another and it does not record your name. This website sets no advertising cookie.
  • A cookie is a small file that the website puts on your computer. This website may set technical cookies: they only help the website to work and to stay safe. They are never used to follow you.

Who receives your information, and how long we keep it

  • Your information is read by the OuiCycle team who takes care of your request. We never sell it. We never give it to other companies for advertising.
  • The website is hosted by the company OVH, in Roubaix, in France. So the information of the website stays in the European Union.
  • Your request then arrives in Slack, the tool our team uses to share out the work. Slack is a processor: a company that works for us and must follow our rules. The computers of Slack can be outside the European Union. A contract with Slack sets the rules for this transfer.
  • We keep your information for the time needed to handle your request. We then keep it for 3 years after our last contact. We erase it after these 3 years. This is the retention period: the time we are allowed to keep your information.
  • We protect your information with technical measures and working rules. They stop someone from stealing your information, changing it or showing it without permission.

Your rights over your information

  • You can ask us to see all the information we have about you. This is the right of access.
  • You can ask us to correct information that is wrong or that has changed. This is the right to rectification.
  • You can ask us to erase your information. This is the right to erasure.
  • You can ask us to stop using your information: this is the right to object. You can also ask us to put its use on hold: this is the right to restriction.
  • You can ask us for a copy of your information, to take it somewhere else. This is the right to portability.

How to write to us to use your rights

  • Write to us at the address contact@ouicycle.fr to use your rights. You can write to this same address for any question about your information.
  • The company that decides how your information is used is OUICYCLE, LES ROUES SOLIDAIRES. It is called the data controller.
  • You can make a complaint to the CNIL if our answer does not suit you. To make a complaint means: to say that you do not agree and to ask for help.
  • The CNIL is the Commission Nationale de l'Informatique et des Libertés: the French authority that protects your information. Its website is www.cnil.fr.

In brief

We only collect the information you send us voluntarily through our contact form, for the sole purpose of answering your request. This website uses no audience-measurement cookies and no advertising trackers.

Data controller

The data controller is OUICYCLE, LES ROUES SOLIDAIRES (a SAS, publisher of the “Les Roues Solidaires” programme). For any question about your data: contact@ouicycle.fr.

Data we collect

When you fill in the meeting booking form, we collect:

  • the name of your facility or organisation;
  • its location (town or département);
  • the type of facility;
  • your role;
  • your email address;
  • your phone number (optional);
  • the number of beneficiaries concerned (optional).

No account needs to be created, and we collect no data without your knowledge.

Purpose and legal basis

This data is used solely to handle your request for a demonstration or for information and to follow up our exchange. The legal basis is your consent, together with the performance of pre-contractual steps taken at your request (Article 6 of the GDPR).

Recipients and processors

Your data is intended solely for the OuiCycle teams in charge of following up your request. It is never sold or passed on to third parties for commercial purposes.

The website is hosted by OVH SAS (Roubaix, France): the website's data is hosted within the European Union. The requests you send us through the contact form are routed to our Slack workspace (Slack Technologies, Salesforce group), which we use as an internal follow-up tool and whose servers may be located outside the European Union; this transfer is governed by our provider's contractual commitments.

Retention period

Your data is kept for as long as is necessary to handle your request, then for 3 years from our last contact, before being deleted.

Cookies

This website uses no advertising or audience-measurement cookies (no Google Analytics, no third-party tracker). Only strictly technical cookies, necessary for the operation and security of the hosting, may be set. We measure website traffic with Umami, a solution we host ourselves: it records the pages viewed, the referring source and the device type, without setting a cookie, without tracking you from one website to another and without collecting any data that could identify you.

Your rights

In accordance with the General Data Protection Regulation (GDPR) and the French Data Protection Act (loi “Informatique et Libertés”), you have the right of access, rectification, erasure, objection, restriction and portability of your data.

To exercise these rights, write to us at contact@ouicycle.fr. You may also lodge a complaint with the CNIL, the French data protection authority (www.cnil.fr).

Security

We implement reasonable technical and organisational measures to protect your data against unauthorised access, alteration or disclosure.
